Key Responsibilities
Essential Duties and Responsibilities (other duties may be assigned):
Human Resources:
- Plan and schedule optimal staffing for maximum productivity and service excellence.
- Recruit, interview, and hire practice team members.
- Organize and facilitate regular team meetings and supervise team members, handling performance evaluations, disciplinary procedures, and terminations.
- Conduct team member exit interviews, mediate personnel issues, and maintain high morale and motivation.
- Develop and implement employment benefit programs and maintain a comprehensive set of employment policies and manuals.
- Maintain confidential employee files and oversee team member training and development.
Financial Management:
- Review and purchase supplies and equipment, ensuring optimal prices through periodic reviews.
- Analyze fee schedules for services and products, adjusting as necessary to maximize profitability.
- Manage accounts payable and receivables to ensure accurate and timely handling.
Marketing:
- Develop and execute a detailed marketing plan in collaboration with the owner, covering internal and external marketing strategies.
- Ensure marketing efforts yield a demonstrable ROI within budget constraints, analyze and report on marketing efforts, and manage website and social media marketing.
- Address client inquiries and complaints, oversee client education initiatives, and measure and report client satisfaction through exit interviews.
Practice Organization:
- Oversee all client service activities and implement strategies to enhance the client/patient experience.
- Analyze patient throughput and scheduling, developing strategies to maximize efficiency and client satisfaction.
- Maintain appropriate inventory systems, including setting reorder points and ensuring compliance with DEA regulations for controlled substances.
- Establish and maintain vendor relationships and ensure equipment and building maintenance to minimize costs.
- Collaborate with veterinarians to maintain high-quality medical standards and oversee information technology resources and practice management software.
Law and Ethics:
- Develop and maintain a Risk Management Plan and ensure compliance with local, state, and federal laws and regulatory agencies.
- Uphold high ethical standards set by AVMA Code of Ethics and practice confidentiality policies for employees, clients, and patients.
Required Skills & Qualifications
Education and Experience
- High School Diploma, GED, or suitable equivalent.
- 2 years of experience in veterinary practice management.
- Certified Veterinary Practice Manager (CVPM) preferred
- Proven leadership and team-building skills.
- Excellent communication, interpersonal, and customer service skills.
- Strong organizational, time-management, and multitasking skills.
- Proficient in Microsoft Office, with aptitude to learn new software and systems.
